German for Online Selling: Vocabulary, Sample Messages, and Livestream
On this page

On Monday morning you open your small pottery shop inbox and see an email from a customer in Germany: 「Könnten Sie mir bitte eine Rechnung mit Mehrwertsteuer auf meine Firma ausstellen?」 You recognize Rechnung, you can guess Firma, but Mehrwertsteuer and the structure könnten Sie mir bitte … ausstellen, you’re not sure. A wrong reply here isn’t a big deal; it just makes you look less professional in front of a customer whose emails are usually very proper.

Selling to customers in Germany in German takes two things at once: fairly fixed commercial vocabulary and a fairly formal writing tone. Many shops add very specific words like Impressum, Retourenschein, or Packstation that general dictionaries don’t teach. Grammar has two familiar stumbling blocks for Vietnamese speakers: word order in subordinate clauses and Konjunktiv II for polite requests.

This article is for people who sell or plan to sell to Germany, Austria, or Switzerland in German, on a marketplace or in their own shop, and for those planning to livestream. You get vocabulary tables following one order’s journey, five grammar points for email and chat, three dialogue scenarios, and how to practice. Nouns are listed with their articles because remembering gender from the start is cheaper than fixing it later.

What’s different when selling to customers in Germany

Some things in selling in Germany you’ll meet in writing before you meet them in real life. The table below lists words that rarely show up in general textbooks but often appear in shops, correspondence, and policy pages. They tie to regulations, so the specific conditions you need to read in the current sources of the marketplace and the relevant authority; this article only helps you recognize the words.

WordUsed to talk aboutTip
das Impressumseller identification info, usually at the bottom of the pageMany German shops have this section; look up current requirements
der Widerrufthe customer canceling a distance-purchase contractNot the same as Reklamation, which is a complaint about a defect
die Mehrwertsteuervalue-added tax, abbreviated MwSt.Prices are often marked inklusive MwSt.
der Retourenscheinreturn label to stick on the parcelThe shop may email it for the customer to print
die Packstationautomated parcel lockerCustomers can choose it instead of a home address

Writing tone differs too. Emails to customers usually start with Guten Tag or Sehr geehrte Frau Müller, use Sie, and end with Mit freundlichen Grüßen. That level of formality eases off in youth-oriented shops where du shows up in chat, but with strangers Sie is still the safe choice.

One worthwhile first step is to read the Impressum, terms page, and returns page of a few German shops in the same niche. They’re short, repeat sentence patterns you’ll use, and they’re the fastest way to see what a German shop says when a customer wants to return something.

Vocabulary along one order’s journey

The tables follow the exact order of an order: you list a product, the customer checks the price, places an order, you ship, then there may be a return or a review. Last is livestream. The set of 40 words in the game fits in five tables, plus extra words like Mehrwertsteuer, Vorkasse, and Mangel.

Listing products and the shop

WordMeaningExample sentenceTranslation
die Produktseiteproduct pageAuf der Produktseite finden Sie alle Maße der Tasse. All measurements of the mug are on the product page.
einstellenlist for saleIch stelle morgen drei neue Tassen ein.Tomorrow I’m listing three new mugs.
die Produktbeschreibungproduct descriptionIn der Produktbeschreibung steht, dass die Tasse spülmaschinengeeignet ist.The product description states that the mug is dishwasher-safe.
der SuchbegriffkeywordIm Titel sollte der wichtigste Suchbegriff am Anfang stehen. In the title, the most important keyword should come first.
das Produktfotoproduct photoDas Produktfoto zeigt die Tasse bei Tageslicht. The product photo shows the mug in daylight.
die GrößesizeDie Größe der Tasse finden Sie in der Beschreibung. The mug’s size is in the description.
der MarktplatzmarketplaceIch verkaufe auf zwei Marktplätzen und in meinem eigenen Shop.I sell on two marketplaces and in my own shop.
der Onlineshoponline shopWillkommen in unserem Onlineshop.Welcome to our online shop.
der VerkäufersellerIch bin die Verkäuferin und antworte Ihnen persönlich.I’m the seller and will reply to you personally.
das Impressumseller identification infoDas Impressum finden Sie unten auf jeder Seite. The legal notice is at the bottom of every page.

The verb einstellen has at least three meanings: list a product, adjust a device, and hire staff. In a marketplace context the first meaning is almost the only one, but if you see ein Produkt einstellen the whole phrase tells you the meaning. Female sellers should use Verkäuferin, and remember Verkäufer also means a sales clerk in a store.

Price, discount, stock, and payment

WordMeaningExample sentenceTranslation
der PreispriceAlle Preise verstehen sich inklusive Mehrwertsteuer. All prices include VAT.
der RabattdiscountAb zwei Tassen gibt es einen Rabatt. From two mugs onward there’s a discount.
der Gutscheindiscount codeMit diesem Gutschein sparen Sie bei Ihrer ersten Bestellung. With this code you save on your first order.
das Blitzangebotflash saleDas Blitzangebot läuft nur bis 21 Uhr.The flash sale runs only until 9 p.m.
das BundlecomboIm Bundle bekommen Sie zwei Tassen und zwei Untersetzer. In the combo you get two mugs and two coasters.
der LagerbestandstockDer Lagerbestand ist begrenzt.Stock is limited.
ausverkauftsold outLeider ist die blaue Tasse ausverkauft.Unfortunately the blue mug is sold out.
die ZahlungpaymentIhre Zahlung ist heute bei uns eingegangen.Your payment reached us today.
die RechnunginvoiceDie Rechnung schicke ich Ihnen per E-Mail.I’ll send you the invoice by email.
die Mehrwertsteuervalue-added taxDie Mehrwertsteuer ist auf der Rechnung gesondert ausgewiesen.VAT is shown separately on the invoice.
die VorkasseprepaymentBei Vorkasse versende ich nach Zahlungseingang. With prepayment I ship after payment is received.

You need to tell Rechnung apart from Quittung. Rechnung is an invoice the seller issues to request payment or confirm a transaction; Quittung is a receipt confirming payment was received. When a customer asks for a Rechnung for their company, they usually need name, address, and sometimes a tax ID, and what you must put on it depends on current tax rules, so ask your accountant before you promise anything.

Customer, order, and shipping

WordMeaningExample sentenceTranslation
der KundecustomerUnsere Kunden schätzen die handgemachte Glasur. Our customers appreciate the handmade glaze.
die Nachrichtcustomer messageVielen Dank für Ihre Nachricht.Thank you for your message.
die BestellungorderIhre Bestellung ist bei uns eingegangen.Your order has reached us.
die VerpackungpackagingDie Verpackung ist so stabil, dass die Tasse sicher ankommt. The packaging is sturdy enough for the mug to arrive safely.
versendenshipIch versende Ihre Bestellung morgen früh.Tomorrow morning I’ll ship your order.
die Versandkostenshipping feeDie Versandkosten betragen 4,90 Euro.Shipping is 4.90 euros.
versandkostenfreifree shippingAb 50 Euro liefern wir versandkostenfrei. From 50 euros we deliver with free shipping.
die Sendungsnummertracking numberDie Sendungsnummer schicke ich Ihnen, sobald das Paket unterwegs ist.I’ll send the tracking number as soon as the parcel is on its way.
das PaketparcelMein Paket ist noch nicht angekommen. My parcel hasn’t arrived yet.
die LieferungdeliveryDie Lieferung dauert in der Regel einige Werktage.Delivery usually takes a few business days.
die Zollabfertigungcustoms clearanceBei Sendungen aus Vietnam kann die Zollabfertigung etwas dauern. For shipments from Vietnam, customs clearance can take a while.
die Packstationautomated parcel lockerSoll ich das Paket an eine Packstation schicken?Should I send the parcel to a parcel locker?

Two close words need separating. Versand is you sending it out; Lieferung is the goods reaching the customer, so when a customer asks 「Wann kommt die Lieferung?」 they’re asking when the delivery arrives, and if you reply 「Ich habe es heute versendet」 you’ve shipped it. Exact timing depends on the carrier and customs, so report the real status from the tracking number instead of promising a date.

Returns, complaints, and reviews

WordMeaningExample sentenceTranslation
die RetourereturnDie Retoure ist gestern bei uns angekommen. The return reached us yesterday.
die ErstattungrefundDie Erstattung erfolgt auf das Zahlungsmittel, mit dem Sie bezahlt haben. The refund goes back to the payment method you used.
der UmtauschexchangeEin Umtausch gegen eine andere Farbe ist möglich. You can exchange for another color.
beschädigtdamagedDie Tasse ist leider beschädigt angekommen.Unfortunately the mug arrived damaged.
die Originalwaregenuine goodsBei Markenartikeln verkaufen wir ausschließlich Originalware. For branded items we sell only genuine goods.
die GarantiewarrantyAuf die Verarbeitung geben wir ein Jahr Garantie. We give a one-year warranty on workmanship.
die BewertungreviewÜber eine Bewertung freuen wir uns sehr. We’d be very happy to get a review from you.
die ReklamationcomplaintIch kümmere mich sofort um Ihre Reklamation.I’ll handle your complaint right away.
der Widerrufcanceling a distance purchaseWenn Sie widerrufen möchten, schreiben Sie mir bitte eine kurze E-Mail.If you want to cancel, please send me a short email.
der Mangelproduct defectFalls die Tasse einen Mangel hat, schicke ich Ihnen eine neue.If the mug has a defect, I’ll send you a new one.

Garantie and Gewährleistung are not the same. Garantie is an extra commitment the seller or manufacturer gives voluntarily; Gewährleistung is statutory liability for product defects. When you write a policy page, keep the two concepts separate, and read current rules on time limits instead of copying numbers from another shop.

der Warenkorbshopping cartLegt die Tasse in den Warenkorb, solange sie noch da ist.Put the mug in the cart while it’s still in stock.

Five grammar points in email and chat

1. Könnten Sie, Würden Sie: asking the customer politely

Polite requests in German use Konjunktiv II of können or werden, plus bitte and the infinitive at the end of the sentence. This is much softer than the imperative and fits email to strangers.

  • Könnten Sie mir bitte ein Foto schicken?
  • Würden Sie mir bitte Ihre Bestellnummer mitteilen?
  • Ich würde Ihnen gern ein neues Produkt senden.

A common mistake for Vietnamese speakers is translating word for word into Schicken Sie mir ein Foto, grammatically fine but it sounds like an order. Another is forgetting to push the infinitive to the end and writing Könnten Sie schicken mir bitte ein Foto. The conjugated verb is second; the infinitive is last.

2. Perfekt and Satzklammer: reporting what’s already done with an order

When talking about something that already happened, conversation and email usually use Perfekt: haben or sein in second position, past participle at the end. The gap between the two verbs is called Satzklammer, and everything else sits in between.

  • Wir haben Ihr Paket gestern versendet.
  • Ich habe Ihre Zahlung heute erhalten.
  • Das Paket ist heute in Hamburg angekommen.

A common mistake is putting the participle right after the auxiliary, writing Wir haben versendet das Paket, or forgetting to pick sein for motion verbs like ankommen. An easy rule: if the action moves location or changes state, use sein; otherwise usually haben.

3. weil, da, falls: subordinate clause pushes the verb to the end

In explanatory email you need reasons or conditions in a subordinate clause. After weil, da, falls, or wenn, the conjugated verb goes at the end of the clause. When the subordinate clause comes first, the main clause starts with the verb.

  • Das Paket verspätet sich, weil der Zoll es noch prüft.
  • Da die Tasse beschädigt ist, erstatten wir Ihnen den Kaufpreis.
  • Falls Sie Fragen haben, melden Sie sich gern.

A common mistake is keeping the verb in second position after weil, writing weil der Zoll prüft es noch, because Vietnamese doesn’t invert verb position. Also watch the comma before the subordinate clause; German requires it there.

4. können, müssen, dürfen: writing terms and watch nicht

Return policies often use modal verbs. können is ability, müssen is obligation, dürfen is permission. Remember nicht changes their meaning: nicht müssen is don’t have to, nicht dürfen is not allowed.

  • Sie können die Ware zurücksenden.
  • Die Ware muss unbenutzt sein.
  • Sie müssen nichts weiter tun.

Vietnamese speakers often mix up Sie müssen nicht zahlen (you don’t have to pay) with Sie dürfen nicht zahlen (you’re not allowed to pay). The two sentences mean very different things, and swapping them in a refund confirmation makes the customer understand the opposite. The three sentences above are examples from a hypothetical shop; your real policy must follow current rules.

5. Livestream tone: ihr, du, and imperatives

On livestream, many shops and hosts use ihr or du with viewers, and short imperatives like Schaut mal or Schreibt in den Chat. That tone is casual and fast, suited to a busy live room. Levels vary by brand, so watch how shops in the same niche address people.

  • Schaut mal, wie leicht die Tasse ist.
  • Schreibt eure Fragen einfach in den Chat.
  • Nur heute Abend gibt es zehn Prozent Rabatt.

A common mistake is bringing Sie and Konjunktiv II from email into livestream, it sounds like reading an announcement. The reverse mistake is using du in email to strangers because you’re used to live tone. Safe approach: Sie in one-to-one email and chat, ihr or du on live if your brand has chosen that voice.

Three dialogue situations

Business customer requests an invoice

This is back-and-forth email with a customer buying for a company. Read both roles aloud and note where the infinitive sits at the end.

CustomerGuten Tag, ich habe gestern drei Tassen bestellt. Könnten Sie mir bitte eine Rechnung mit Mehrwertsteuer auf meine Firma ausstellen?Hello, I ordered three mugs yesterday. Could you please issue an invoice with VAT to my company?

CustomerJa, ich habe sie nur ausgepackt.Yes, I only unpacked it.
SellerDann schicke ich Ihnen noch heute einen Retourenschein per E-Mail. Sie müssen ihn nur ausdrucken und auf das Paket kleben. Then I’ll email you a return label today. You just need to print it and stick it on the parcel.
CustomerUnd wann bekomme ich mein Geld zurück?And when do I get my money back?
SellerSobald die Retoure bei mir angekommen ist, überweise ich die Erstattung auf das Konto, mit dem Sie bezahlt haben. Ich schreibe Ihnen dann kurz.Once the return reaches me, I’ll transfer the refund to the account you paid with. I’ll message you then.

How to practice German while selling

Play the online-selling vocabulary deck in Falling Stars or Pop It to load the words, then come back to the tables and read each example sentence aloud with the article. For German, practice whole chunks like die Bestellung, ein Paket, versandkostenfrei, not bare words, because gender and conjugation will follow you into every sentence later.

For listening: pick one episode from the German podcast, listen sentence by sentence and transcribe, then compare to the original. Transcription catches what your ear skips, like compound noun endings and split verbs at the end of the sentence. Courses give you a path and the vocabulary test shows where you stand.

One exercise that fits sellers: take three German emails you’ve received or seen in another shop, underline every chunk with Sie, könnten, and subordinate clauses with the verb at the end, then rewrite your replies using those same patterns. After five rounds you have your own template set.

Outside WELE: Nicos Weg from Deutsche Welle is a free German course from beginner to intermediate, very good for grammar foundations. For lookups and real examples, DWDS and Linguee help. When you need to check your level, the Goethe practice test on WELE gives you a benchmark. Selling conditions and tax rules change over time, so read current sources from the marketplace and relevant authorities.

What sellers often wonder about

What level of German do you need to sell to customers in Germany?

There’s no universal number; it depends whether you reply yourself or have support. What’s worth preparing more than a score is understanding customer email and having a template set checked by a native speaker.

Should you use Sie or du with customers?

For one-to-one email and chat with strangers, Sie is the safe choice. On livestream or on a youth-oriented brand channel, ihr or du is quite common, so watch shops in the same niche and stay consistent.

Can you write in English to German customers?

There’s no one-size-fits-all answer. Many customers read English, but if you sell in the German market, important information like returns may have language requirements, and you need to check current rules or ask someone who knows.

How do Garantie and Gewährleistung differ?

Garantie is a voluntary commitment from the seller or manufacturer; Gewährleistung is statutory liability for product defects. Specific time limits and conditions need reading in current sources, so this article doesn’t give numbers.

What are marketplace fees and taxes when selling to Germany?

This article doesn’t give numbers because they change by marketplace, product type, and time. Read the marketplace’s current help pages and the carrier’s guidance, then quote customers.
